Start here: make a list of what your team needs on the first day in a new system. Separate active work from historical information, then confirm what can be exported and how it will remain accessible.

Define the records and workflows you need.

An export is only useful if everyone understands what it contains. Ask your current vendor which records are available, in what formats, and with what costs or timing. Include the records your front desk, clinicians, and billers use in their daily work.

  • Patient and contact information, upcoming appointments, and active cases.
  • Evaluations, treatment notes, plans of care, and signatures.
  • Authorization periods, approved visits, and utilization information.
  • Claims, payer responses, balances, and supporting documents.

Agree which information will move, which will remain in an accessible archive, and how the practice will verify the result. Migration scope depends on the source system and the agreed implementation.

Give open billing work an explicit home.

A new schedule can start on a Monday. An unresolved claim may span the change for much longer. Decide where staff will continue each open task and how they will find its supporting records.

List the items that need an owner: pending claims, records requests, appeals, payment posting, and patient balances. Document which system is responsible for each during the transition. That gives the team a clear place to continue work instead of guessing after launch.

Prepare people around their daily tasks.

Have a front-desk user, clinician, and biller walk through representative work using fictional information. Include a new appointment, a treatment note, an authorization review, and a claim that needs follow-up.

Confirm staff access, training responsibilities, and the support arrangements included in your implementation. Keep a short list of questions that must be resolved before the team starts using the new system for live work.

Agree on what “ready” means.

Choose the date after reviewing the scope. A practical launch check includes access for the right staff, a verified appointment list, an agreed records plan, the required payer setup, and a clear process for handling open work.

Discuss how issues will be reported and who can make decisions during the transition. Keep the agreed plan in writing so the practice and vendor are working toward the same starting point.

Plan your move to PBS.

We start by understanding your disciplines, provider count, current system, payer mix, and priorities. Your demo can focus on the workflows your team wants to improve. From there, we review the implementation scope and the plan and costs for your practice.

Bring a description of your requirements to the conversation. Please keep patient information out of the public demo form; detailed transfer arrangements belong in the implementation process.
